Description

Scheduled Overtime can be set BEFORE and/or AFTER the official start and end time of a FIXED SCHEDULE. If Scheduled OT is set up within a certain fixed schedule assigned to an employee, there will be no need for the employee to file for an overtime request. The employee will be paid automatically for the overtime rendered if the clock in and clock out records are covered within the set scheduled OT.

The scheduled overtime set up is NOT applicable for Flexi Schedule.

How will an employee be paid for the Scheduled Overtime?

1. The schedule assigned must have a Scheduled Overtime setup.
      
      
2. The employee must be Entitled to Overtime Pay.
      
3. The employee must have Time Records (Clock In-and Clock Out).
      

Sample Scenario 1

Continuous Shift & Overtime
Fixed Schedule
Shift Start Time: 08:00
Shift End Time: 17:00


Scheduled Overtime (2 hrs)
Scheduled OT Start Time: 17:00
Scheduled OT End Time: 19:00


Employee Time Records
Clock In: 08:00
Clock Out: 20:00

The employee will be automatically paid for 8 regular hours and 2 hours OT even if the OT is not filed and approved. However, the last 1 hour of OT will not be paid automatically as it is not already covered by the set Scheduled OT. The last hour (19:00 - 20:00) should be filed as an OT and must be approved.

Broken Shift & Overtime
Fixed Schedule
Shift Start Time: 08:00
Shift End Time: 17:00


Scheduled Overtime (2 hrs)
Scheduled OT Start Time: 18:00
Scheduled OT End Time: 20:00


Employee Time Records
First Clock In: 08:00
First Clock Out: 17:00
Last Clock In: 17:50
Last Clock Out: 20:10


Since the created fixed schedule has a gap from the scheduled OT, the employee can take a break after the actual shift and before the scheduled OT by clocking out and clocking in for the second time. In this example, the employee will be paid 8 regular hours since he completed his shift without tardiness or undertime. He will then be paid only 1:50 hours for the OT since the second clock out was recorded 10 minutes before the end of the scheduled OT. Take note that ONLY the OT hours rendered within the set scheduled OT will be paid.
The system computes the Overtime based on the actual time records of the employee.
