Team Leader: Manage Attendance and Shift of Team Members

Teams Feature

The Teams field will only be visible to employees who were set as Team Leaders.



As a Team Leader, you can (if enabled):
a. Monitor and Regenerate the Attendance of the Team Members;
b. Manage the shift and rest day schedules of Team Members without an Administrator's access.

Once Teams field is opened, you will see your team's name with the number of members under your team.


Upon opening your team, you will see the following details:
1. Team Name and Number of Team Members;
2. Week covering the present date;
3. Option to change the calendar view to Day/Week/Month;
4. Specific Dates depending on the view selected.



If you scroll down below, you will also see the following:
1. Regenerate button - to refresh and update the employees' attendance;
2. Present Date;
3. List of Team Members;
4, Previous / Next Button



You will also notice in the list a crown icon. It indicates that the employee is set as the team leader.


How to Regenerate Team Members' Attendance

1. Just above the team members list, you will see the regenerate button.


2. Upon clicking the regenerate button, you will notice that there will be indicators if the team members are Present or Absent.

3. You can also select one of the members to check the details of the time records. You will see if an employee has timestamps for the clock in and clock out.


How to Change the Shift of Team Members

1. Once you open a team member's profile, you can select which day should the shift be changed.


2. After choosing the date, you have to click on the calendar icon just down below.


3. To change the shift, select one from the dropdown list.


4. Select the shift effective start and end dates.


If the new shift will only be applicable for a day, the shift effective start and end dates should be the same. If it is for a specific period, the shift will skip some days depending on how it was set up by the administrator. 
5. Click on Assign and it will automatically overwrite the existing shift.


6. You will see that the shift will be changed from the old to the new one.



7. To assign new shifts to other team members, you have to click on the Back to Team Details button and repeat steps 1-6.


How to Assign Rest Days

1. Once you open a team member's profile, you can select which day should the shift be changed.


2. After choosing the date, you have to click on the calendar icon just down below.


3. Switch the tab from Shift to Rest Day.


4. You also have an option to repeat the rest days on certain days by switching on the toggle button.

If you opt not to, just retain the toggle switched off.

5. Select the days as to when the rest day should recur.
 

6. Select how frequent the rest day should also recur.


7. Select the validity of the rest day.


If you choose never, as long as the employee is with the company, the rest day will recur. If you choose after X occurrences, you have to identify how many weeks the rest day should recur.

8. After setting up, click on the Assign button.


9. The existing shift will now be replaced by the new rest day.
