Add Leave Entitlements (Accrual and Conversion)

To add a Leave Entitlement:


1. From the Top Navigation Bar, click Settings > Leave Settings > Leave Entitlements.


2. Click Add Leave Entitlements.


3. Enter Leave Type Name.


4. Enter Entitled Employees.
    • You can choose employees who are entitled to such leave entitlement by entering a Location, Department Name, Position or Employee name.

    • This field exhibits auto-suggestion. Simply enter the first few characters of a Location, Department, Position, and employee. Select from the list of suggestions.



5. Tick the Leave Type in which the Accrual and Conversion setting will be applicable.
    • Leave Types that require leave credits and are considered payable will appear on the list.  

    • If the field remains blank, this will not require attachments from employees upon filing a leave request for the particular leave type.



6.  Set the Leave Accrual Setup depending on your company policy.
  1. Number of leave credits to accrue - (How many leave credits should be added?)

  • Units Available: Day or Hours only

  1. Accrue every - (How often should this leave accrual occur?)

  • Options:  *Once-off, Monthly, Semi-Monthly, Weekly

*Once-off means the accrual will only happen on the date selected. This setup will not be recurring unlike the other three options.

  1. Start accruing after - (When should the leave accrual start?)

  • This serves as the delay on when should the accrual start. Example, new employees only earn leave credit once they reach the 6th month of employment. After 6 months from Hiring Date, the first accrual will happen on the same date of the employee’s 6th month of employment.


7. Set the conditions on how the system converts all unused leave credits of employees.


    • Leave Conversion Run

      Annual

      End of the calendar year

      Anniversary

      Same as employee’s hiring date every year

      Specific Date

      Choose an exact date set


    • Leave Conversion Type

For Payroll

All unused leave credits will be converted to cash via payroll

Carry Over Next Period

All unused leave credits can still be used on the next cycle after the conversion run

Forfeit

All unused leave credits can no longer be used after the conversion run


    • Termination Leave Conversion Type

For Payroll

All unused leave credits will be converted to cash on the final pay

Forfeit

All unused leave credits can no longer be used



8. Click Submit.


    • Upon clicking Submit, you will see the added Leave Type appear on the list.
